Position Overview

We are seeking an Assistant to the Managing Consultants who is highly organized, proactive, and detail-oriented. This is a part-time, hybrid/remote/ho position, ideal for someone who thrives in a flexible and remote work environment. The successful candidate will play a key role in managing day-to-day administrative tasks, assisting with strategic initiatives, and ensuring smooth operations within the company.

Key Responsibilities

Administrative Support: Manage the calendar, schedule meetings, and prioritize appointments. Prepare and organize correspondence, documents, and reports.
Communication Liaison: Serve as the primary point of contact for internal and external stakeholders. Handle incoming communications, including emails, phone calls, and meeting requests, with a professional and timely response.
Research & Analysis: Assist with market research, business development initiatives, and competitor analysis. Compile and present findings to the Managing Consultant.
Project Coordination: Assist with managing projects, timelines, and milestones. Ensure that tasks are completed efficiently and deadlines are met.
Travel & Event Planning: Coordinate travel arrangements, accommodation, and event logistics. Plan and organize virtual and in-person events, meetings, and conferences.
Document Management: Structure, organize and maintain company files, records, and databases, ensuring they are easily accessible and up to date.
Strategic Support: Provide support with special projects and tasks that align with IProLoop’s mission and growth objectives. This may include helping with presentations, preparing reports, and assisting with business development/marketing activities.
Ad-Hoc Tasks: Provide general administrative support and assist with various tasks as required.

Qualifications
  • Proven experience as an executive assistant, personal assistant, or in a similar administrative role.
  • Exceptional organizational and time-management skills with the ability to prioritize tasks and handle multiple projects simultaneously.
  • Strong written and verbal communication skills in English & Dutch; additional language skills (e.g., Spanish, German) are a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other productivity tools.
  • A proactive, self-motivated approach with a positive attitude and strong problem-solving abilities.
  • High level of confidentiality and discretion, especially when dealing with sensitive company information.
  • Previous experience in a startup environment is a plus but not required.
  • Flexibility to work remotely and manage tasks independently.
