As Assistant to the CEO & Team at IProLoop in the Netherlands, you will keep daily operations running smoothly in a fast-moving startup environment. You support the CEO and key team members with scheduling, coordination, documentation, and structured follow-ups—turning priorities into action and ensuring reliable execution. Startup experience is a plus; strong assistant experience and the willingness to learn our business fields are equally welcome.

Assistant to CEO & Team (m/f/d) – Startup Operations

Company: IProLoop (Germany UG / Netherlands B.V.)
Location: Any Region (remote / hybrid)
Contract: Full-time / Part-time / payroll or contractor
Experience: Minimum 5 years, ideally in a startup or scale-up environment

What you’ll do

  • Manage calendars, meetings, and priorities; prepare agendas, notes, and action items
  • Drive follow-ups and task tracking across the team, partners, and service providers
  • Coordinate communication with clients, experts, and partners in a professional and timely way
  • Prepare and format documents (emails, briefs, proposals, meeting summaries, internal templates)
  • Support operational routines: document management, checklists, simple process improvements
  • Assist with onboarding activities and maintain updated records and team documentation
  • Support travel, event, and on-site coordination within the Netherlands when required
  • Handle ad-hoc tasks and research to support leadership and execution


What we’re looking for

  • Experience as Executive Assistant / Team Assistant / Operations Assistant (or similar business field)
  • Strong organization, reliability, and a hands-on “get it done” mindset
  • Excellent communication skills in English (Dutch is a strong plus; German welcome)
  • Discretion and professionalism when handling confidential topics
  • Confident with digital tools (Microsoft 365 / Google Workspace, Teams/Zoom, task tools)
  • Ability to prioritize, work independently, and adapt quickly


Nice to have

  • Startup or scale-up experience
  • Familiarity with one or more of IProLoop’s fields: Procurement, ERP Solutions,
  • Network & Cloud Security, Training/Academy
  • Experience supporting sales/admin workflows (CRM updates, proposal coordination, follow-ups)
